MD’s Secretary – Administration Department


-Bachelor’s degree / Secretary course

Years of Previous Experience:

-Four to Six years of executive assistant experience preferably in the IT industry

-Experience managing multiple calendars

-Experience with booking travel

Job Description:

-Answering phones and routing calls to the correct person or taking messages and welcoming CEO’s guests.

-Preparing memos, invoices letters, expense reports, and other documents.

-Reading and analyzing incoming memos, submissions, and distributing them as needed.

-Filing and retrieving corporate records, documents, and reports.

-Opening, sorting and distributing incoming faxes, emails, and other correspondence.

-Using various software, including word processing, spreadsheets, databases, and presentation software and outlook for emails.

-Handle financial banking transactions and maintain record.

-Acts as the point of contact between the CEO, employees, and other external partners.

-Make travel and accommodation arrangements for CEO and other senior management.

-Working pro-actively to assess conflicts and travel (e.g., if a meeting has been scheduled in Islamabad, pro-actively work to suggest and recommend travel options to ensure executive is in the right place for meetings without prompting)

-Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.

-Helping prepare for meetings.

-Accurately recording minutes from meetings.

-Dealing with a number of senior stakeholders to co-ordinate meeting with senior executives

-Exceptional written communication skills to deal with external stakeholders

-Prioritizing requests without input from CEO

-Performing office duties that include ordering supplies and managing a records database.

-Experience as a virtual assistant.

-Provide general administrative support.

-Manage information flow in a timely and accurate manner.

-Any other task assigned by CEO.
